Data Submission

Instructions

There are a few steps to follow when you are about to start a new case.

  1. Contact UT Southwestern (UTSW) to get a case number.
  2. Export DICOM RT dataset, including imaging and structure set. Anonymize it and package into a single file.
  3. Submit the case file to UTSW for contouring review.
  4. When plan is made, please submit to UTSW for plan review the whole dataset including a) imaging set, b) RT structure set, c) RT plan, d) RT dose.

Data Export

The complete dataset of each treatment plan should be exported in DICOM format. It should include the planning imaging sets, image registration objects (if image fusion was utilized), RT structure set objects, RT plan objects, and RT dose objects.

Anonymizing Dataset

Anonymize the datasets in the obtained case number. The anonymization tool, MaskIt, can be downloaded from this website: https://sites.google.com/site/maskit4dicom/.

​To sustain a naming consistency across institutions, please replace patient's last name and patient ID with "POTEN-Cnnnn", where "nnnn" is a four-digit case number; replace patient's first name with your institution ID (IID), UTSW for instance; leave patient's middle initial blank.

Data Packaging

Compress the whole dataset into a single zip file and name it following the format “IID_POTEN-Cnnnn.zip” where IID is the identifier of your institution (you can choose your own) and represents the case number.

To facilitate your planning quality assurance process, an RT QA form has been made based on the dosimetrical requirements stated in the above protocol. Please complete a QA form for each subject and submit it along with the DICOM dataset and plan report.

Data Submission

Send the compressed dataset file to the Department of Radiation Oncology at UTSW (RADONC UTSW) to have the plan reviewed. You can submit the compressed file in one of three ways:

  1. Use WeTransfer. (instructions)
  2. Use Box. (instructions)
  3. Use Microsoft OneDrive.
  4. If above two methods did not work for you, we can adapt to your file sharing.
