Internal User

New users must register for a QLMC account through PPMS. Be prepared to provide a valid COA (UT Southwestern Chart of Accounts used for invoicing) and the contact information for your administrative assistant. Obtain the COA from your PI or lab manager. Alternatively, you can add yourself as a new member of an existing lab group.

You will be directed to the following login page:

  • Log in with your UT Southwestern username and password.
    • If you already have a PPMS account, you will be taken to your PPMS home page.
    • If you do not have a PPMS account, you will be taken to the account creation page.

On the account creation page, enter the required information to create your user account.

  • Login: This field should populate automatically. If it does not, enter your s-number (your UTSW identifier, with a lowercase “s” and no spaces or hyphens).
  • Group: Select your lab. You can search the group list. If your lab is not listed, follow the instructions below to create a new group.
  • ORCID: If you have an ORCID iD, enter it in this field.
  • Affiliation: Select UT System, CCenter, or OBI as the affiliation for your group:
    • Select “CCenter” if your PI is a member of the Simmons Comprehensive Cancer Center.
    • Select “OBI” if your PI is a member of the Peter O’Donnell Jr. Brain Institute.
    • For all other groups, or if you are unsure, select “UT System.”
  • Click “Save” to submit your account creation request.

After we validate and approve your account, you can log in to your PPMS home page.

Create a new lab group

If your lab is not listed in the Group dropdown menu, click “Create a New Group.”

  • Group name: Enter your PI’s last name followed by the word “Lab” (for example, Schmid Lab).
  • Group unique ID: Enter your PI’s first and last names in the format first.last (for example, john.schmid).
  • ORCID: If you have your PI’s ORCID iD, enter it in this field.
  • Department: If your department is not listed in the dropdown menu, enter it manually.
  • Institution: Select “UT Southwestern Medical School.”
  • Affiliation: Select UT System, CCenter, or OBI as the affiliation for your group:
    • Select “CCenter” if your PI is a member of the Simmons Comprehensive Cancer Center.
    • Select “OBI” if your PI is a member of the Peter O’Donnell Jr. Brain Institute.
    • For all other groups, or if you are unsure, select “UT System.”
  • Click “Save” to submit the new-group request.

After we validate and approve your account, you can log in to PPMS using your UTSW credentials:

From your PPMS home page, you can submit a training request or reserve an instrument. You can reserve only instruments on which you have completed the required training.

Book time on an instrument

  • On your PPMS home page, select an instrument from the “Book a system” dropdown menu or click the “Book” tab. You will be taken to the instrument’s booking calendar for the current week.
  • Click and drag on the calendar to select the desired time slot.
  • At the bottom of the page, click “Book the Selected Sessions” to complete your reservation.

Submit a training request

  • On your PPMS home page, click the “Request” tab.
  • Complete either the general training request or the request to image live (non-fixed) BSL-2 pathogens, as applicable.
  • Complete the form and click “Submit Request” at the bottom of the page. We will contact you by email with the next steps.
