Visiting Medical Students
Thank you for your interest in pursuing fourth year electives at The University of Texas Southwestern Medical School. Please follow the detailed instructions below to maximize your opportunity to be accepted for a visiting student elective and to minimize your processing upon arrival to start an elective.

All questions regarding the electives should be directed to the individual departmental contact.

Prior to an approved visiting medical student's arrival at UT Southwestern, all communication will be coordinated through the departmental contact and processed by the departmental contact on the prospective visiting medical student's behalf.
Students must complete an initial application and provide basic information from their home medical school before any elective may be approved by the department.
INSTRUCTIONS
Steps 1 - 3 below must be completed and forwarded to the contact person in the academic department(s) of your chosen elective(s). The contact person will process all forms with the appropriate UT Southwestern administrative offices on the visiting medical student's behalf. Failure to complete these three steps will jeopardize any opportunity to pursue the elective as a visiting medical student.
1. Complete the Visiting Medical Student Registration Form (VMSRF). download a PDF version of the form. (The PDF form requires Adobe Acrobat Reader® to access and/or print the form.)
Individual academic departments may require a supplemental application with department-specific instructions and requirements. The academic department will also negotiate an elective date with the visiting medical student. Steps to follow when completing the VMSRF:
- Print legibly and provide all information requested.
- Questions 15 thru 21 must be completed by the Student Affairs Office at your home institution.
C. #17 on the VMSRF - Please review the UT Southwestern Malpractice Requirements . If your coverage does not meet the requirements, additional malpractice insurance can be purchased upon your arrival at UTSW for $25.00 per rotation.
Malpractice Insurance
Students enrolled at The University of Texas Southwestern Medical School are covered by The University of Texas System Malpractice Plan. The coverage is:
$25,000 per claim
$75,000 per aggregate
$75,000 per participant
Students are covered while doing courses off campus as long as they are doing the course for credit and the course has been approved by the corresponding faculty on our campus and by the Association for Student Affairs.
D. #20 on the VMSRF - Please review the UT Southwestern Required Immunizations. Get a copy of your immunization record from your student health administrator to verify that the required minimum immunizations are complete. Visiting medical students must provide official certification that all required immunizations are current before they will be approved for an elective rotation. (This should be sent with the VMSRF to the department contact.)
E. Take all of the forms detailed above to the designated Student Affairs administrator at your home institution to verify completion on the VMSRF. Acquire signature of authorized official at your home institution.
F. Finally, review and complete the UT Southwestern Essential Functions form. Visiting medical students must attest to their ability to perform the essential functions before commencing an elective rotation. (This should be sent with the VMSRF to the department contact.)
2. Once the VMSRF has been completed and signed by the Authorized Official at your home institution, attach the required documentation and forward all documents to the contact person in the academic department at UT Southwestern.
3. The contact person in the academic department at UTSW will notify visiting medical student applicants of their approval to pursue a UT Southwestern elective during the requested time period.
THE FIRST DAY OF THE ROTATION AT UTSW
Upon arrival at UT Southwestern, visiting medical students should report to the academic department of the rotation. From there, they will receive instructions and additional information about getting started at UT Southwestern.
A. Information Resource Training. To be granted access to all UTSW computer systems, all visiting medical students must complete an on-line computer-based course that takes approximately 2 hours. Training must be completed or computer access will be terminated (Instructions for completing the training are provided upon checkin.)
B. HIPAA Training. All visiting medical students must complete UTSW’s HIPAA training program. Upon successful completion of the course, the student will receive a certificate of completion. (Instructions for completing the training are provided upon checkin.)
C. Checkin. After all the required documents are received upon check-in, The Registrar's office will send the visiting medical student to the University Cashier for payment of the $25.00 per elective rotation fee. Any visiting medical student who cannot provide proof of the minimum malpractice insurance coverage may purchase coverage from UT Southwestern for an additional cost of $25.00 per elective rotation.
D. ID Card. ID cards are issued to all visiting medical students after they return to the Registrar's Office with proof of payment from the University Cashier. The visiting medical student photo ID card is to be displayed at all times on campus and in the clinical facilities.
D. Student Health Services. Additional questions regarding SH should be directed to (214) 645-8690 or go to the Student Health clinic located on the 8th floor of the James W. Aston Ambulatory Care Center (U8.409).
E. BryanWilliams Student Center. Memberships can be obtained at the BWSC circulation desk for a fee of $40 per month. For more information, please contact (214) 648-3578.
F. The Scutpuppy Guide to the Lands. Is a student publication that provides orientation to the UT Southwestern's affiliated hospitals and more, the guide is available for purchase from the University Store.
G. Blood and/or Body Fluid Exposure Policy - Each student will be provided the policy for review. In case of exposure,
H. Parking Registration. An application and vehicle registration guide is available in the Parking Services office located in A2.002. Your license plate number is required as part of the registration process. To receive a temporary parking permit, the student must go to the Visitor Information Center ("A" Building), fill out the application and pay the required fee. Any questions should be directed to (214) 648-9600.
I. Library. Privileges are granted as part of the visiting medical student's registration. During check-in, please visit the library on the 2nd floor of the "E" building to complete the required paperwork. Any questions should be directed to (214) 648-2001.
Other items:
Depending on the number of visiting medical students, the check-in process may take several hours. This process must be completed before you will be allowed to start your rotation.
Please keep a copy of any forms or receipts from check-in.
