hank you for your interest in pursuing fourth year electives at The University of Texas Southwestern Medical School.  Please follow the detailed instructions below to maximize your opportunity to be accepted for a visiting student elective and to minimize your processing upon arrival to start an elective.

Electives First Day of Rotation Instructions

 

  <ELECTIVES  

Visiting students may not complete more than 2 four-week electives at UT Southwestern.

If you are applying to UT Southwestern from a LCME Accredited medical school, the application must be submitted through the AAMC Visiting Student Application Service (VSAS).  Information regarding the start of the rotation can be found below, under: FIRST DAY OF ROTATION

Authorizations to use the AAMC-VSAS must be issued from your HOME institution.  If you or your institution have questions about VSAS authorizations or access to their system, then please contact AAMC-VSAS at VSAS@aamc.org.

If you applying to UT Southwestern from a Non-LCME Accredited medical school or a foreign medical school, please follow the INSTRUCTIONS below:

Note: Baylor University Medical Center at Dallas will continue with the visiting student program, but will not accept students from foreign medical schools.

   INSTRUCTIONS: NON-LCME ACCREDITED MEDICAL SCHOOLS AND INTERNATIONAL MEDICAL  SCHOOLS ONLY

Steps 1 - 3 Must be completed and forwarded to the contact person in the academic department(s) of your chosen elective(s). The contact person will process all forms with the appropriate UT Southwestern administrative offices on the visiting medical student's behalf. Failure to complete Steps 1- 3 will jeopardize any opportunity to pursue the elective as a visiting medical student.

1. Complete the Visiting Medical Student Registration Form (VMSRF). download a PDF version of the form. (The PDF form requires Adobe Acrobat Reader® to access and/or print the form.) 

Individual academic departments may require a supplemental application with department specific instructions and requirements. The academic department will also negotiate an elective date with the visiting medical student. Steps to follow when completing the VMSRF:

  1. Print legibly and provide all information requested.

  2. Questions 15 thru 21 must be completed by the Student Affairs Office at your home institution.
  3. #17 on the VMSRF - Please review the UT Southwestern Malpractice Requirements .  If your coverage does not meet the requirements, additional malpractice insurance can be purchased upon your arrival at UT Southwestern for $25.00 per rotation.   
  4. #20 on the VMSRF -  Please review the UT Southwestern Required Immunizations. Obtain a copy of your immunization record from your student health administrator to verify that the required minimum immunizations are complete. Visiting medical students must provide official certification that all required immunizations are current before they will be approved for an elective rotation. (This should be sent with the VMSRF to the department contact.)
  5. Take all of the forms detailed above to the designated Student Affairs administrator at your home institution to verify completion on the VMSRF.  Acquire signature of authorized official at your home institution.  
  6. Finally, review and complete the UT Southwestern Essential Functions form. Visiting medical students must attest to their ability to perform the essential functions before commencing an elective rotation.  (This should be sent with the VMSRF to the department contact.)
  7. Effective June 30, 2008, international students who are not already residing in the United States on a sponsored visa must submit a non-refundable $150 international visiting student application fee before the request will be processed.  This processing fee is in addition to the $25 per visiting elective rotation fee.  The $150 (US dollars) international visiting student application fee must be submitted via check or money order with your VMSRF.  The department to which your are applying will forward the $150.00 international application fee to the International Office who will deposit the non-refundable fee in advance of the departmental processing of the VMSRF.
  8. International students residing outside the U.S. MUST come on an F-1 visa sponsored by UT Southwestern.  Within a couple of weeks of your acceptance by a clinical department you will be contacted by the International Office to begin visa arrangements.

2. Once the VMSRF has been completed and signed by the Authorized Official at your home institution, attach the required documentation and forward all documents to the contact person in the academic department of your chosen elective at UT Southwestern.

3. The contact person in the academic department at UT Southwestern will notify visiting medical student applicants of their approval to pursue a UT Southwestern elective during the requested time period.

    FIRST DAY OF THE ROTATION:  APPLIES TO ALL ACCEPTED VISITING MEDICAL STUDENTS  

PRIOR TO YOUR FIRST DAY…YOU WILL NEED TO COMPLETE THE FOLLOWING:

1.  Criminal Background Check - This is REQUIRED by all visiting students before they are allowed to start a rotation at UT Southwestern and our University Hospitals.  If a criminal background check has NOT been completed at your medical school, please contact GroupOne Services (www.gp1.com) to submit your background check once you have accepted an offer for a UT Southwestern rotation.  Please select "Visiting Medical Student" from the drop down menu when choosing your discipline in the GroupOne application.

2.  Essential Functions Form to review and complete - Visiting medical students must attest to their ability to perform the essential functions before starting an elective rotation at UT Southwestern and our University Hospitals.  (This should be sent to the department by the first day or brought with you to hand in on the first day.)   If you have any questions about performing these essential functions, then please contact the department prior to the first day of the rotation. 

3.  HIPAA Training   All visiting medical students must complete UT Southwestern's HIPAA training program.  Visiting students can take HIPAA Privacy Training in the iAim system by using the Self Registration system: https://sws001.swmed.edu/selfTraining/Home  Once a user is at this site click on “Start Self Registration” to create a logon.  You will list the rotation’s department coordinator as your UTSW contact on this registration webpage.  Sign in using the logon you just created, click on the “HIPAA Privacy” course category and then click on the “HIPAA Privacy Basics” course.  Upon successful completion of the online course, the student will be able to print out a certificate of completion.  This certificate should be printed and provided to the department as proof that this training was completed.

ON YOUR FIRST DAY OF THE ROTATION: 

Upon arrival at UT Southwestern, visiting medical students should report to the academic department of the rotation.  From there, they will receive instructions and additional information about getting started at UT Southwestern.

 1.  Payment - Visiting medical students will be directed to the University Cashier to pay the $25.00 per elective rotation fee.  Any visiting medical student who cannot provide proof of the minimum malpractice insurance coverage may also purchase coverage from UT Southwestern at the University Cashier for an additional cost of $25.00 per elective rotation. 
STUDENTS MAY ONLY COMPLETE TWO ROTATIONS AT UT SOUTHWESTERN.
 

2.  ID Card -  Visiting medical students will provide proof of payment from the University Cashier to the Registrar’s Office to obtain their ID card.  An ID card is required by ALL visiting medical students and must be displayed at all times while on campus and in the clinical facilities.  

 3.  Information Resource Training - To be granted access to all UT Southwestern computer systems, all visiting medical students must complete an on-line computer-based course that takes approximately 2 hours. Training must be completed or computer access will be terminated (Instructions for completing the training are emailed to your UT Southwestern email account.  (Logons and passwords are provided to their Groupwise account upon check-in).

 4. Parkland EPIC training – Parkland EPIC training is also required by all students doing a rotation at Parkland Hospital.  More information and training time will be provided by the department on the first day of the rotation.  (EPIC logons and passwords are provided upon check-in).

Depending on the number of visiting medical students, the check-in process may take several hours.  This process must be completed before you will be allowed to start your rotation.

Please keep a copy of all forms or receipts from check-in for your records.
